The Redeemables sub-section is your view of every redeemable instance issued to your members: who has what, what’s been used, and when it was redeemed.
You can also manage the redeemable benefits granted to a specific membership from the membership detail view.
Redeemable Benefits List
Each row is one redeemable benefit instance attached to a single membership.
The benefit name and membership it belongs to.
Status: Not redeemed, Redeemed, or Expired.
Date issued.
Expiration date.
Date redeemed (if applicable).
Click any row to open the redeemable instance for details, including any redemption notes.
Filters
Narrow the list by:
Membership ID
Status: All, Redeemed, or Unredeemed
Filters combine with AND logic.
Exporting
The Export button on the Redeemable list produces a CSV with one row per redeemable instance. The export applies whatever filters are currently selected.
Managing redeemable state
Sometimes a member will accidentally redeem a benefit and want to have it available again. When that happens you have a couple of ways to “unredeem” the benefit for them:
From the redeemable details page. Open the redeemable benefit instance and toggle redeemed.
From the membership details page. Open the membership, find the redeemable in the Benefits section, and toggle redeemed.
You may optionally also add a note to the redeemable noting the reason for updating the redeemed status.
Frequently Asked Questions
How does a member use a redeemable benefit?
Any available, unredeemed instances of a Redeemable Benefit will appear at the top of the member’s “Benefits” list in the PassPlay mobile app. The member may tap on any instance to open a detail view and begin the redemption process by tapping “Start Redemption”. If you have specific instructions for the member regarding redemption, we recommend putting those in the “Details” field of the Redeemable Benefit.
After tapping “Start Redemption” the app will prompt the member to press-and-hold the redemption button in order to complete the process. Once complete, the app will present any post-redemption content you have configured. Previously redeemed benefits are accessible from the “See redeemed benefits” button at the bottom of the “Benefits” list.
How does the “Existing Benefits Policy” work?
The selected policy determines how any existing, unused benefits of the same type will be handled when this grant is processed. Think of it like a “roll over” policy for redeemable benefits.
For example, suppose you had a grant that distributed 2 parking pass benefits to members each time the membership renewed. If a member only used one parking pass during the year, what should happen to the unused parking pass when the membership renews? The “Existing Benefits Policy” provides four options:
Keep all unused benefits: the unused parking pass will be kept and the member will end up with 3 parking passes
Remove all unused benefits previously given by this grant: the unused parking pass previously provided by this grant will get removed and the member will end up with 2 parking passes
Remove all unused benefits previously given by any grant: unused parking passes from any grants will get removed and the member will end up with 2 parking passes
Remove all unused benefits: unused parking passes from any source (grants or direct distribution) will get removed and the member will end up with 2 parking passes
