Messaging analytics

Reviewing how a campaign performed, looking up individual messages, and tracking monthly usage against your email quota.

Once a campaign sends, two screens help you review how it performed: the campaign’s Summary page (what happened in aggregate) and the History view (every individual message and its status).

Campaign summary

Open a Sent campaign from the campaign list and click into it to see its Summary.

What’s tracked depends on the campaign type:

  • Message count: total messages PassPlay generated when the campaign sent (one per recipient).

  • Read count: how many of those messages have been opened/read by recipients (where the channel supports it).

  • Receipt count: for Push, Reward, and Points push campaigns, how many devices acknowledged delivery of the notification. This is a stronger signal than “message generated” because it confirms the device actually received the push.

Numbers update as recipients interact: a campaign sent overnight will keep accumulating reads through the day.

Per-message history

Sidebar → Messaging → History opens the full message history across all your org’s campaigns.

Each row represents a sent message: message type, timestamp, campaign, recipient, and read status (where supported).

You can also reach the same view filtered to a specific campaign by linking from that campaign’s page.

Usage report

Sidebar → Messaging → History, then the Usage button at the top right, opens the usage report.

Where the summary covers one campaign, the usage report covers your whole org: how many messages went out each month, grouped into three buckets.

Column

What it counts

Invitation

Invitation campaigns.

Push

Push, Reward, and Points campaigns.

Email

Email, Email → Reward, and Email → Points campaigns.

A column only appears if the matching feature is enabled for your org, or if messages of that kind were sent in the selected year. The Total column appears when more than one bucket is shown, and the last row totals the whole year.

The “year” buttons at the top allow you to view usage for past years. The first year available is the year your org was created.

Email quotas

Orgs with the Email Campaigns feature have a monthly email quota that caps how many general-purpose Email campaign messages an org can send in one calendar month. Contact us to request a quota increase.

Two things are important to note:

  • Only the general-purpose Email campaign type counts. Invitation, Reward, and Points emails do not count.

  • The limit is tracked per calendar month and resets at the start of each month.

Quota enforcement

PassPlay checks the quota when a campaign is sent, not when you create or schedule it. It adds the number of recipients in the campaign to the number of email messages already sent in that month. If the total is more than the quota, the result depends on whether or not:

  • Overage is disabled (default): the campaign does not send. Its status is marked as Failed and the campaign list shows it under the Failed tab with a red badge. Viewing the campaign shows the exact reason. You can reschedule it to send later, or ask to have the quota increased.

  • Overage is enabled: the campaign sends normally. It is marked as an overage send, and the campaign summary shows a warning. The status message records how many messages went above the quota.

Because the check happens at send time, a campaign that was safely under the quota when you scheduled it can still fail if other campaigns use up your allowed sends first.

Am I charged for overages? In the future you will be billed for any overages at a rate to be determined.

Quota on the usage report

When your org has the Email Campaigns feature, the usage report shows an Email Quota Usage card above the table:

  • For the current year, a Current month line shows used against quota, with a progress bar. The bar turns amber when you pass the quota, or when less than a quarter of the quota is left. An Over email quota badge appears when the month is above the limit.

  • A bar chart shows the emails sent in each month of the selected year, with the current month highlighted. The chart always shows all 12 months. It is hidden on small screens.

If overages are enabled for your org, the table also has an Email Overage column with the number of emails above the quota in each month, and the year total in the last row.
