Distributing guest passes

Creating grants that produce guest passes for an audience.

A guest pass grant issues passes to a specific audience: every membership in that audience gets passes, according to the configured parameters. Grants allow you to create automatic distributions of guest passes, whether to all members, a specific tier, or a curated list.

How to use grants

  1. Choose the trigger

    • First sync with PassPlay: will distribute the guest passes the first time PassPlay syncs the membership

    • Annually: will distribute the guest passes every year, starting from the grant creation date

    • Membership renewal: will distribute the guest passes any time a membership expiration date change is detected

    • On the 1st of Every Month: will distribute the guest passes on the first day of every month

  2. Specify parameters: quantity, admits count, expires, and any internal notes to include on passes.

  3. Choose the audience:

    • All memberships.

    • Selected membership type (e.g. all Family members).

    • Selected membership level (a tier within a type).

    • Selected memberships: search and pick by hand.

  4. Save. Once enabled, the grant will run automatically to distribute guest passes to the target audience.

Note: The same process (minus the trigger) can also be used to immediately distribute guest passes in bulk from the Passes view (Sidebar → Guest Passes → Passes). In those cases, because the audience evaluation and instance creation can take a while, the distribution will take place asynchronously. The grants list will display a progress indicator at the top until the job completes.

Limits and caveats

Once passes are created they’re independent of the grant: editing or deleting the grant doesn’t retroactively change issued instances.
