The Users area is where you manage the people who can sign in to the PassPlay admin for your organization. Each user has an email address and a role that controls what they can do.
Roles
Two roles are relevant for org-level work:
Role | What they can do |
Org Admin | Full access to every screen in the admin - memberships, messaging, benefits, guest passes, loyalty, reporting, and organization details. |
Standard User | More limited access to membership views. Use for staff who need to help members get set up with PassPlay and to answer questions. |
Adding a new user
Sidebar → Users → Create user.
Enter the new user’s email address and temporary password.
Pick the role.
Submit. PassPlay creates the account and emails an invite to the address you entered if you checked “Send onboarding email”.
The new user clicks the link in the email to set a password and complete sign-up.
Editing an existing user
Click any user from the list to open their edit page. From here you can:
Change their role, name, or email address.
Reset their password (see below).
Re-send onboarding email.
Deactivate the account.
Changes save when you submit the form.
Resetting a password
Two ways to help a user who’s lost their password:
Self-service. Direct them to the Forgot your password? link on the sign-in page. They’ll receive a reset email automatically.
Admin-initiated. Open their user record and use the Reset password action. PassPlay generates a reset link and emails it to them.
The reset email always goes to the user’s address, never to the admin.
Deactivating a user
When someone leaves your team, deactivate their account from the users page. They lose access immediately. Their historical actions (campaigns sent, adjustments made, etc.) are preserved in audit trails; only their ability to sign in is removed.
